Admin Support - Retail Management

Key Responsibilities:
1. Store Information & Manpower Administration
Manage monthly PIC updates via Lark e-forms and submission.
Update weekly manpower reports and maintain accuracy.
Maintain Store Information & Manpower Tracker (Base Sync) in Lark.
Consolidate and update organizational charts in Google Drive.
Prepare and share finalized reports with relevant departments.
2. Compliance Monitoring Support
Verify High Refund, High Discount, and High Void cases via Lark.
Ensure proper documentation and reporting compliance.
Highlight discrepancies and escalate when necessary.
3. Maintenance & Coordination Support
Compile monthly maintenance summary reports.
Track completion rate with BD Maintenance team.
Follow up on pending maintenance cases.
Assist in coordinating quarterly maintenance meetings.
4. Operational Reporting & Data Control
Monitor Own Use schedule and stock movement.
Verify high utility usage cases.
Prepare plastic bag charge reports.
Monitor and report double charge cases (15th & 29th monthly).
Update receiving time reports (1st–15th monthly).
5. System & Platform Administration
Manage Lark user accounts (creation, update, deletion).
Handle new store setup and store closure configuration.
Upload and maintain Store Maps (Google MyMaps).
Perform ad hoc consolidations (cashier PC, printers, competitors data, SOP acknowledgment tracking, etc.)
Requirements:
Diploma or Bachelor’s Degree in Business Administration, Retail Management, or related field.
Minimum 3–5 years of experience in retail operations support, compliance monitoring, or administrative coordination.
Proficient in Microsoft Excel (Pivot Table, lookup functions) and Google Workspace.
Familiar with Lark system and basic system administration (user access, store setup).
Strong analytical skills with attention to detail and reporting accuracy.
Good coordination and stakeholder management skills.
Able to manage multiple deadlines and reporting cycles independently.
Organized, responsible, and proactive in task ownership.
